Inventory Accuracy

About the Client

Style Union is a fast-growing fashion and lifestyle brand with a strong retail presence across Tier 1 and Tier 2 cities in India. Known for its trend-forward collections and rapid store expansion, the brand caters to a style-conscious, value-driven customer base. With growing SKU volumes and increasing supply chain complexity, Style Union needed a solution that could keep pace with its scale, especially at the warehouse level.

The Challenge

As order volumes rose, so did the pressure on Style Union’s inbound teams. Traditional receiving methods, barcode scanning, manual box counts, and handwritten logs created operational bottlenecks.

1) Lack of Shipment Visibility

Warehouse teams had no visibility into what inventory was arriving until the truck physically reached the dock. Without advance box-level packing details, planning and resource allocation became reactive. This often resulted in rushed labor arrangements, inefficient dock utilization, and delays in unloading and sorting, all of which slowed down receiving and impacted stock availability across stores.

2. Frequent Receiving Errors and SKU Mismatches

Due to the lack of digitized packing data, staff had to manually open boxes and scan or count SKUs one by one. During high-volume periods, even barcode scanning was skipped or inconsistently used. This led to frequent mismatches between received items and purchase orders, making reconciliation time-consuming, increasing the risk of inventory inaccuracies, and sometimes delaying the availability of fast-moving products.

3. Delayed Acknowledgment to Vendors

Any discrepancies, whether short supplies, missing cartons, or incorrect SKUs, were typically discovered only after manual audits, sometimes days post-delivery. Without a live feedback mechanism, vendors weren’t alerted to issues promptly. These delayed payment cycles, complicated vendor accountability, and occasionally escalated into disputes that could have been avoided with real-time communication.

4. Inefficient, Manual Entry into Inventory Systems

Post-verification, every item had to be recorded manually into spreadsheets or ERP systems. Staff transcribed carton details, SKUs, and quantities from handwritten logs or memory, a process that was not only slow but also highly error-prone. These inaccuracies often rippled into other systems, affecting replenishment planning, sales forecasting, and customer service.

The Solution

To eliminate manual inefficiencies and reduce receiving errors, Style Union partnered with Supplymint to digitize and streamline its inbound process using the RFID-integrated receiving capabilities of the DigiProc platform. This transformation replaced guesswork and manual tracking with real-time visibility, hands-free verification, and proactive control across vendors, warehouse staff, and supply chain leadership.

Advance Packing List with Box-Level Data

Before dispatch, vendors uploaded detailed packing information directly into DigiProc, including carton numbers, SKUs, quantities, and PO mappings. This data was automatically synced with Style Union’s backend, giving the warehouse team clear visibility of what was en route before the truck even left the vendor site.
Impact: This allowed warehouse managers to pre-plan receiving, scheduling labor, allocating dock space, and preparing for fast turnaround without last-minute chaos.

RFID-Tagged Shipments

Each individual item was tagged with an RFID label and digitally mapped to its corresponding carton and packing data. This item-level tagging created full visibility into every SKU inside the box, enabling warehouse teams to verify entire shipments without opening cartons or scanning items one by one.
Impact: Every tagged item became a data point, enabling instant, contactless verification of entire shipments at the carton level, without opening boxes or scanning individual SKUs manually.

Instant, Hands-Free Scanning at Receiving

Instead of scanning individual barcodes one at a time, warehouse staff used RFID readers to scan dozens of cartons in seconds. The system instantly pulled up expected contents, verified them against purchase orders, and completed goods receipt with near-perfect accuracy.
Impact: A process that earlier took hours could now be completed in minutes, with 90%+ tagging accuracy and no paperwork involved.

Real-Time Mismatch Detection & Alerts

If a carton was missing, short-packed, or didn’t match the PO, DigiProc flagged it immediately during the scan, enabling instant resolution at the dock.
Impact: No more delayed audits or vendor disputes. Warehouse teams acted instantly, and vendors were notified in real time for faster reconciliation and payment.

Centralized Dashboard for End-to-End Visibility

From inbound warehouse staff to supply chain managers and vendor partners, all stakeholders could track live shipment status, match rates, and pending discrepancies in a single dashboard.
Impact: This closed the loop between procurement, receiving, and inventory updates, ensuring everyone stayed aligned, without follow-ups or manual data entry.
